Privacy Policy

Introduction

Coach Otis is a mobile app for iPhone and Android that gives you an AI voice coach for short fitness sessions. This Privacy Policy explains what information we collect when you use the app, how we use it, and the choices you have. It applies to everyone who uses Coach Otis and takes effect on May 17, 2026. By using the app, you agree to the practices described here.

Information we collect

To provide the coaching experience, we collect:

• Account email — the email address you use to create and sign in to your account.
• Voice and audio — what you say to your coach during a session is captured so the coach can hear and respond to you in real time.
• Session transcripts, summaries, and coaching profile — we keep a written record of your sessions, short summaries of them, and a rolling coaching profile so the coach can remember your goals and adapt over time.
• Streak and usage data — your workout streaks, session history, and how you use the app.
• Device and analytics data — basic device information and aggregate analytics that help us keep the app stable and improve it.

How we use your information

We use the information we collect to:

• Deliver and personalize your AI voice coaching sessions.
• Maintain your streaks, session history, and coaching profile.
• Process and manage your paid subscription.
• Diagnose problems, improve reliability, and make the app better.

We do not sell your personal information, and we do not use your voice recordings or transcripts to advertise to you.

Third-party service providers

Coach Otis relies on a small number of trusted service providers to operate. Each receives only the data needed to perform its function:

• LiveKit — carries the real-time voice connection between you and your coach during a session.
• xAI— converts your speech to text, generates the coach’s responses, and turns those responses back into speech.
• RevenueCat — manages your subscription and its status.
• Supabase — stores your account, handles authentication, and stores your session data.
• Apple — processes App Store payments for subscriptions.
• PostHog (PostHog, Inc., United States) — receives anonymous product-usage events (which screens you visit, when you start and finish a coaching session, paywall interactions) tied to your Coach Otis user ID. PostHog never receives your voice, transcripts, or coach replies. See PostHog’s privacy policy.
• Sentry (Functional Software, Inc., United States) — receives crash reports and runtime errors tied to your Coach Otis user ID, including the device model, OS version, and a stack trace. See Sentry’s privacy policy.

Your data is shared with these providers only as needed to operate those functions, and they are expected to handle it securely.

You can turn off product-usage analytics and crash reporting at any time in the Coach Otis app at Settings → Privacy → Help improve Coach Otis. The toggle is on by default and persists across launches.

AI services and your data

Coach Otis uses third-party artificial-intelligence services to power the voice coach, your personalized plan, and food logging. We send each provider only the specific data it needs for the feature you asked for:

• xAI (Grok)— receives your spoken words (after they are transcribed to text) and your coaching context during a voice session, and your profile answers when generating your plan. This is used solely to generate Coach Otis’s coaching responses and your personalized plan. See xAI’s privacy policy.
• Anthropic and OpenAI — may receive the same coaching and plan context, routed through our secure backend, to generate coaching responses and session summaries. See Anthropic’s privacy policy and OpenAI’s privacy policy.
• LiveKit — carries your real-time voice audio between you and the coach during a session (transport only). See LiveKit’s privacy policy.

These providers process the data only to deliver the feature you requested, are contractually prohibited from selling it, and do not use it to train their models on your personal data. When you log a meal photo, that photo is sent to an AI service for food identification.

Raw Apple Health and Google Health Connect samples never leave your device and are never sent to any AI service.

Apple Health (HealthKit) and Google Health Connect

With your explicit permission, Coach Otis reads the following from Apple Health on iOS and Google Health Connect on Android: workout history, body weight, height, age, biological sex, active energy burned, sleep duration, and mindfulness sessions. We use this data exclusively to personalize your training plan, generate post-session summaries, and adapt today’s workout to your recovery state.

On session completion, Coach Otis writes back to Apple Health / Health Connect: the coaching session as a workout, the estimated active energy burned, and any body-weight value you explicitly confirm in the app. Writes happen only after a successful session and only for the data types you authorized.

Raw HealthKit and Health Connect samples never leave your device. Only daily aggregates (for example, total active energy for a given date) are uploaded to our backend, and only when you opt in via Settings → Integrations. Coach Otis does not use HealthKit or Health Connect data for advertising, marketing, profiling beyond personalized coaching, or sale to third parties. We do not share this data with the third-party providers listed below for any purpose unrelated to delivering the coaching experience to you.

You can revoke access at any time from your phone’s system settings:

• iOS— Settings → Privacy & Security → Health → Coach Otis. Turn off any individual category or remove the app entirely.
• Android— Settings → Apps → Health Connect → App permissions → Coach Otis. Toggle individual categories or revoke all access.

Revoking access does not delete data already stored on our backend; to delete that, request account deletion via the contact details below.

Data retention

We keep your account information, session data, and coaching profile for as long as your account is active. If you ask us to delete your account or data, we will delete it. Some information may persist for a short time in backups or where we are required to retain it by law.

Your rights

You can request access to the personal information we hold about you, and you can request that we delete your account and data. To exercise either right, email us at [email protected] and we will help you.

Children’s privacy

Coach Otis is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will remove it.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Significant changes will be communicated within the app. Continued use of Coach Otis after an update means you accept the revised policy.
